Use PDF History and handle expiry

Check job status, download available files and regenerate expired output using Print again.

Before you start

Open PDF History from the app navigation to find generated PDF and ZIP jobs. History is the record of the job and its current file availability. It is not a permanent archive; keep downloaded copies you need for later.

See Plans and limits for current allowances and access.

Step 1 — Find the job

  1. Open PDF History.
  2. Search by filename, job or incident, or choose Type and Status filters.
  3. Choose Apply filters, then inspect the relevant row’s status and progress.
  4. For a completed available result, use its download action. Active jobs can refresh automatically; reloading does not require starting the job again.

Check the actual row status rather than assuming that a listed job still has a downloadable file. A row can remain after its file has expired. The example shows existing expired test-store files and their Print again actions.

Expired files remain listed; Print again requests output from the current source and design.

Step 2 — Check availability before downloading

  1. Check the row’s status, file availability and displayed expiry.
  2. For an available completed file, use its download action and save a copy to your device.
  3. If the row says Expired, the historical file is no longer available through that row.
  4. Open your downloaded copy to check that it is the intended result.

Current Admin output normally expires after 72 hours; the actual displayed expiry is the relevant time for each file. A completed job can remain in History after its file expires. The current test-store examples below are expired; they do not show a newly generated file.

Step 3 — Use Print again deliberately

When a file has expired, choose Print again where offered. This requests output using the current source and template state; it is not recovery of the old PDF. Product changes since the original print can appear in the new file. A successful new render uses the relevant monthly allowance.

Troubleshooting active or failed jobs

Give an active job time to finish and check its displayed status. If it fails, review the error and source data, then use the available retry/Print again action where shown. If the same error continues, contact Support with the approximate time, product or collection and error text. Do not send access tokens or payment information.

Expected result

You have downloaded an available result or identified the correct next action for an expired, processing or failed row. Retaining a History row does not guarantee that its old file is still stored.

Important notes about reuse and quota

  • A History download retrieves an existing available file and does not count again.
  • Exact reuse requires an available, unchanged output; it differs from regenerating an expired file.
  • Print again uses current source/template state, not a recovered historical design.
  • Keep your own copies. The app does not provide permanent PDF hosting.
